Disability Insurance and Leave Management

Short-Term Disability (STD), administered by Aetna
STD helps you maintain a steady stream of income during a short-term non-occupational illness or injury. Western Union pays for this coverage for you, and you are automatically enrolled after 90 days of continuous service. The plan pays a benefit of 66-2/3% of your benefits salary for up to 13 weeks.

Long Term Disability (LTD) Insurance, administered by Aetna
In your working years, disability is one of the biggest financial risks you face, which is why LTD insurance is so important for protecting your income and your family. Western Union pays for this coverage for you, and you are automatically enrolled. LTD insurance covers occupational and non-occupational illnesses or injuries and will start after your STD coverage ends. The plan pays a benefit of 66-2/3% of your benefits salary up to $20,000 per month (minimum of $100).

Leave Management
To report an STD or LTD claim as well as a qualified leave of absence, such as military, personal or Family and Medical Leave Act (FMLA) absences, please go to Aetna's WorkAbility® System Web site or call 1-800-552-5506.

You may also visit the WorkAbility System Web site to view your disability and leave benefit information, check your claim status or view your time-off balances. To register:

  1. Select "New User Registration" on the left.
  2. Enter the Company Identifier "WESTERNU" and click "Submit."
  3. Complete the Registration Form and click "Register." You will then be returned to the log-in page where you can log in using the User ID and Password you created on the Registration Form.

A note about FMLA: FMLA entitles you to a total of up to 12 weeks of unpaid leave in a 12-month period, when it is taken for one or more of the following reasons:

  • Birth of a child and care of a newborn
  • Placement of a child for adoption or foster care and care of the child
  • Care of a seriously ill immediate family member (spouse, child or parent)
  • Care of your own serious health condition, including pregnancy

You are eligible for FMLA if you have been a Western Union employee for at least 12 months and have worked at least 1,250 hours during the 12-month period prior to your leave.

How To Report a Qualified Leave of Absence
To report a short- or long-term disability or a qualified military, personal or FMLA absence:

  • Contact your supervisor 30 days before the expected date of leave to report your absence if possible.
  • File a claim with Aetna Disability by either
    • Phone at 1-800-552-5506 or
    • Aetna’s Workability® Web site at www.wkabsystem.com. At the Workability Web site you can also find out about your disability and leave benefits, check any claim status and view your FMLA time-off balance.
  • Complete the provider’s certification packet, which you receive after you file your claim:
    • Sign a copy of the applicable Medical Release Authorization form and provide it to your doctor immediately.
    • You and your doctor must complete the Health Care Provider Certificate (HCPC) form and fax it to Aetna at 1-954-452-4046.
  • Respond to all inquiries from Aetna in a timely manner. Failure to provide the necessary information may result in a closed or denied claim.

If your leave is related to pregnancy. Medical leave due to a maternity-related disability will run concurrently with time available under both state and federal law. Certain states do provide additional time for maternity-related leaves, and Western Union will honor the most generous time frame. Once the child is born, if you have not otherwise exhausted your protected leave time and you plan to remain on leave to bond with your child, you must advise Aetna as soon as possible. You will not be required to complete a HCPC form.

If your leave is related to bonding. If you wish to take time off work for bonding with a new child, you must file an FMLA claim. Specifically, if you are a paternal father or an adoptive or foster parent and need time for bonding with your natural and/or adoptive or foster child, OR you are a maternal mother choosing to take time away from work specifically for bonding with your natural child (after returning to work from maternity leave), complete section A, only, of the HCPC form, sign and date it and submit it via fax to Aetna.
